Volunteer Page

With an event this large, we need 34 volunteers!!  Your efforts will benefit the dance community and make this dance a successful event.  Please help out and get a discount to the dance.  Volunteers get $7 off admission for each half-hour worked for this 7-hour event.  Volunteer for an hour and get in free.  We need people to help out with admissions, with the pot-luck, and with the clean-up after it's all over.  Email Ann Hundt or call (203) 272-8337 to reserve your volunteer spot.  Select which positions and times you would like.  Make sure to print out and bring with you your job description so you know what to do when you get there.  Food volunteers check in with Andrea at 6:00PM.

Job Descriptions

Table

Move 4 tables from the dining area to the foyer at 7:30pm. The rest of the tables get broken down and stored under the stage.

At the end of the evening, 12:30 am, the 4 tables get broken down and stored.

Admissions

Make all (especially newcomers) feel welcome

Collect admission fees:

    Prepaid – check their names off the list

    At the door=$20.00, $10.00 for students with Valid ID

    Make checks payable to “HCD”

Encourage everyone to wear a nametag

Encourage people to join HCD and tell them about the other dances in CT - Have them fill out membership forms, and collect the membership fee

Have surveys available and ask people to fill them out when they leave.

For any questions or problems, find a committee member.

 

Food Greeter

First shift: 6:00pm to 7:00pm (two people): Be sure that food tables are set up, covered, signs up for entrees, desserts, etc. Set up and restock napkins, plates, bowls and plasticware. Direct participants to fill out signs for their dish. Direct participants to correct tables to drop off their food. Be sure that participants unwrap their food, cut it and prepare it for serving.

 

Second shift: 7:00pm to 8:00pm (one person): Make sure that the plates, napkins etc., are stocked. Direct participants to fill out signs for their dish. Direct participants to correct tables to drop off their food. Be sure that participants unwrap their food, cut it and prepare it for serving. At 7:45pm, be sure that all desserts go out to the table in the lobby. Put out small plates, knives, forks and spoons. Direct people to plastic bags and remind them to take leftovers to the car before the dance begins.

 

Food Beverage

First shift: 6:00-7:30PM: This task would require that the beverage table be put in the proper place, set-up with tablecloth, coffee urn, decaf coffee urn, and hot water urn. Coffee would be made, hot pots filled, tea bags, milk and sugar out and kept filled during the pot luck. Requires periodic checking and restocking.

Second shift: 7:30PM to 9:00PM: Table needs to be set up in the lobby to put leftovers out. Food needs to be moved. Water jugs need to be set up in the lobby for the dance. Set up two water containers with ice, water, risers, catch basins, table cloth in the lobby. Restock cups, empty catch basins, clean up spills and refill water as needed.

Third shift: 9:00pm to 10:30PM: Be sure that there is fresh coffee, decaf and tea available at 10pm for the band break. Cups, condiments refilled. Requires periodic checking, refilling and restocking. Be sure that the dessert table in the lobby has plates, napkins, forks, etc. Move empty plates to the table in the foyer close to the door.

Last shift: 11:00PM to end of dance: Bubbly out and open for the midnight toast. Clean up the table after the dance: coffee pots emptied, cleaned, put away. Coffee, etc. packed. Water jugs emptied, dried and put back.
